In brief
The problem is not whether the team can be trusted. It is a process where critical information exists only in people’s memory. The owner needs a digital trail from vehicle arrival to payment and handover.
A classic shop CRM runs on memory. The service advisor wrote down what the client said, the mechanic reported what he did, the owner believed it, because there is no other source. Every link in that chain rests on trust, and every link can break: something was not written down, not everything was said, someone remembered it differently.
This is not about people's honesty. It is about architecture. When the only source of truth about the shop is the staff's words, the owner does not manage the shop: he manages retellings of the shop. How long did that clutch replacement really take? What stage is the car that has been sitting for three days? Who approved the discount? The answers exist, but all of them are somebody's memory.
MECH Orbit was built around a different principle: evidence instead of retelling. The bay camera sees the arrival and recognizes the plate, the work order is created automatically, the mechanic captures defects with phone photos, the client approves the repair with a digital signature, not an 'ok' in a messenger. Every step leaves a trail that does not depend on memory.
What does this change for the owner? First, the most expensive phrase in the business disappears: 'let me check'. Any car's status is on the screen. Second, the labor hour stops being a guess: cameras measure the actual time of the work. Third, billing disputes end where photo evidence and a recorded approval begin.
We did not arrive at this from theory. For three years the system has been running inside our own network, AvtoAtmosfera, in Kharkiv and Cherkasy. Every feature first solved our own problem, and only then became a product.
What to check in your workshop
- Is arrival time and the real start of work recorded
- Are photos, comments and customer approvals stored in one work order
- Can the repair timeline be reconstructed without asking employees
Practical questions
Does video replace the service manager?
No. It gives the manager and owner reliable facts, so exceptions are noticed faster and events do not have to be reconstructed from memory.
Where should a workshop start?
Choose one bay and one process, such as diagnostics, and verify that every transition is recorded without duplicate manual entry.
